Technology and Cybersecurity for Schools and Universities
School management systems, M-Pesa fee collection, student data protection and penetration testing for schools, colleges and universities in Kenya.
School and university systems, M-Pesa fee collection, student data protection and security testing for Kenyan institutions.
Schools and universities run on data: admissions, fees, exam results, timetables, medical notes and the contact details of every parent. Much of it belongs to children, which the Kenya Data Protection Act treats with particular care, and almost all of it is now held in systems that parents, students and staff reach over the internet.
That makes education an attractive target. Student portals are probed for weak authentication, fee systems are abused, results are a temptation to tamper with, and staff and students are phished constantly. Institutions also tend to run a patchwork of systems that grew one at a time: a fees spreadsheet, a separate results package, a website, and a portal nobody has tested.
Neurobyte builds and secures the systems schools and universities run on. We deliver school and college management systems with M-Pesa fee collection and parent communication built in, test student portals and websites the way an attacker would, and help institutions protect student data under the Data Protection Act. One partner for the system and its security, scoped to an education budget.
The rules you work under
Kenya Data Protection Act, 2019
Student and parent records are personal data, and processing a child's data generally requires the consent of a parent or guardian. Institutions must secure the data they hold and report a breach to the Data Protection Commissioner within 72 hours of becoming aware of it.
Integrity of records
Admissions, fees and examination records have legal and academic weight. Systems need access control and an audit trail strong enough to show who changed a record and when.
Financial controls on fees
Fee collection through M-Pesa and banks must reconcile cleanly, and receipts issued to parents should match what the institution actually received. Integrated systems remove the manual steps where errors and fraud happen.
Where the risk sits
- Many users, little training: Thousands of students, parents and staff log in, often with weak or shared passwords. Strong authentication and sensible account management matter more than any single tool.
- Fee collection and reconciliation: Fees paid by M-Pesa, bank and cash must match student accounts. Manual reconciliation is slow and is where errors and fraud hide.
- Disconnected systems: Separate packages for fees, results and admissions mean duplicated data, inconsistent records and more places for data to leak.
- Results and records tampering: Portals that show or store results attract attempts to change them. Authorisation that holds under attack, and logs that show every change, are essential.

Frequently asked questions
Do schools need to comply with the Data Protection Act?
Yes. Schools, colleges and universities process personal data about students, parents and staff, so the Kenya Data Protection Act, 2019 applies. Because many students are children, the Act's conditions on processing children's data, including parental consent, are particularly relevant.
Can parents pay fees by M-Pesa directly into the system?
Yes. We integrate M-Pesa so payments are matched to the right student automatically, receipts are issued instantly and the bursar sees a reconciled position without manual entry.
We already have a system. Can you secure it rather than replace it?
Often, yes. A penetration test shows whether your current portal and system are safe, and many findings can be fixed by the vendor or by us without replacing anything. We recommend replacement only when the system cannot be made secure.
Do you offer cybersecurity training for university students?
Yes. Our HackYard cyber range offers hands-on labs and university licences, and we run awareness training for staff and students who are not studying computing.
How much does a school management system cost?
It depends on the number of students, the modules you need and whether you buy or build. Our school management system guide sets out the cost drivers and how to compare quotes.
